Events and Resources Policy
1. Event Registrations
1.1 All standard conference registrations will close three business days prior to the commencement of the event, while standard registrations for all other events and webinars will close two business days prior to the commencement of the event; unless otherwise specified on the event registration webpage or registration form.
1.2 Where an earlybird event registration option is available, registrations must be booked and paid for by 5pm on the advertised earlybird closing date in order for an attendee to be eligible for the advertised ‘earlybird’ rate for an event. If payment is not received prior to the earlybird registration closing date, the attendee will be charged at the standard rate for the event.
1.2 Late registrations (i.e. after standard registration close date) may be accepted, at the discretion of the Events Manager; a late fee of $50 may be charged.
1.3 If the situation arises where more than the maximum number of attendees registers for an event, QLS will give preference to QLS members in order of receipt of registration. All attendees who cannot be accommodated will be advised via email or telephone.
1.4 Payment of registration fees is required at the time of registration. All registration fees are inclusive of GST. A tax invoice will be generated and issued after online registration for an event. Where registration is completed manually (via registration form), attendees should retain a copy of their original registration form as a tax invoice or request a tax invoice from QLS via email to firstname.lastname@example.org.
1.5 Confirmation of registration will only be issued after all monies are received. Email confirmations for conferences will be sent 3 business days prior to a conference, and 1 to 2 business days prior for all other events. If you do not receive an email confirmation, please contact QLS to ensure your registration has been received.
1.6 If registration fees are not received by the event date, at the discretion of the Events Manager; a late fee of $50 may be charged.
1.7 Each registration is for one attendee only. Attendees cannot 'share' a registration (i.e. delegates cannot swap between sessions or days). Should multiple attendees attempt to ‘share’ a registration, attendees will not be granted entry to the event until they are individually registered and payment has been made at the event by credit card or cash.
1.8 An organisation cannot register for an event, an individual’s details must be provided at the time of registration.
2. Transfer of event registration
2.1 Event registration is transferable to a substitute attendee or DVD/online resource (where available) prior to registration close, without penalty.
2.2 Should the transfer attract further fees (e.g. member to non-member or the nominated substitute event/resource is more expensive), the price difference will be invoiced and payable within 5 business days. Where a price difference results in a refund, a $50 administration fee will apply.
2.3 Any request for the transfer of registration is to be submitted in writing to email@example.com or fax 07 3221 2279 for approval and processing prior to the commencement of the relevant event.
3. Event registration cancellation and refunds
3.1 Event registration may be cancelled and a refund issued, less a $50 administration fee, up to five business days prior to the commencement date of the event.
3.2 Cancellations received within five business days of an event but prior to the registration closing date (as noted in 1.1 above) will incur a cancellation fee of 50% of the registration fee. Registration is transferable to a substitute attendee, resource (where available) or alternate event (in accordance with section 2 above).
3.3 Cancellations received after the registration closing date (as noted in 1.1 above) will incur a cancellation fee of 100% of the registration fee, however registration is transferable to a substitute attendee.
3.4 Attendees who fail to attend an event without prior notification will forego the entire registration fee.
3.5 Cancellation and refund requests due to exceptional circumstances (e.g. sudden illness or injury), will be considered. Such requests should be forwarded in writing, as soon as practicable, to firstname.lastname@example.org.
3.6 QLS reserves the right to cancel or postpone an event to an alternative date. All registered attendees affected by such a change will be contacted by email and offered the opportunity to transfer to the next available event or receive a full refund.
3.7 Any refund will be made in the same manner in which payment was received. Where payment is made in cash, a cheque refund will be mailed to the registered postal address.
4. Resource orders
4.1 DVD and online resources are visually recorded at the time of an event; the event date is therefore the film date. Production of the resource may take 4-6 weeks after the film date. Postage of a DVD resource may take 1 to 2 weeks after production is completed. These timeframes should be considered when placing orders. The resource film date will be specified in the QLS shop or on the resource order form.
4.2 Webinar recordings are recorded at the time of the live webinar; the webinar date is therefore the film date. Production of the webinar recording may take 1-2 weeks after the film date. Online event recordings are distributed via email once payment has been processed. These timeframes should be considered when placing an order. The film date will be specified in the QLS shop or on the order form.
4.3 Online resources can be accessed via a link that is included in the online order confirmation email. You will need to logon to the QLS website with your QLS number and password. The email address used to logon must be the same as used to purchase the resource.
4.4 Resource orders placed prior to the film date of a resource are considered pre-orders, and those placed after the film date are considered standard orders.
4.5 Resource orders cannot be placed under an organisation. An individual’s details must be provided with the order for CPD administration purposes.
4.6 A tax invoice will be generated and issued after online purchase of a resource. Where an order is placed manually (via order form), attendees should retain a copy of their original order form as a tax invoice or request a tax invoice from QLS via email to email@example.com. A tax invoice will also be posted with the DVD resource.
4.7 QLS reserves the right to cancel or postpone the production of a resource where circumstances require. All orders affected by such a change will be notified by email. In the event that production of a resource is cancelled, customers will be offered the opportunity to transfer to another resource or receive a full refund.
4.8 A resource will not be distributed until full payment has been received.
4.9 DVD resources are distributed via Australia Post; standard delivery timeframes apply. Express post may be requested via email to firstname.lastname@example.org and is subject to approval by the Events Manager. Any additional costs will be at the expense of the customer.
5. Resource replacements, cancellations and refunds
5.1 Pre-orders (as per 4.4 above) may be cancelled and a refund issued, less a $50 administration fee, if cancellation is requested prior to the film date of the resource (as noted in 4.1 and 4.2 above).
5.2 Requests for cancellation of standard orders (as per 4.4 above) must be made within 5 business days of placing the order. Refunds will issued on a case-by-case basis at the discretion of the Events Manager. Where refunds are offered, an administration fee of $50 will apply.
5.3 QLS will, at the discretion of the Events Manager, provide an exchange or refund for any incorrect, damaged or faulty resources purchased. If you are returning DVD resources which were incorrect, damaged or faulty, please contact QLS in writing to email@example.com within 7 days of the order receipt. We may require goods to be returned to us with proof of purchase before actioning such requests. Misplaced resources will not be replaced.
5.4 Any refund will be made in the same manner in which payment was received. Where payment is made in cash, a cheque refund will be mailed to the registered postal address.
5.5 QLS will use its best endeavours to procure a replacement resource in the event of faulty, damaged or incorrect resources, however it will be subject to availability and a replacement cannot be guaranteed.
6.1 QLS will use every effort to maintain the integrity of event programming, however QLS reserves the right to amend professional development programs and substitute presenters and/or topics where necessary.
6.2 Attendees who are not completely satisfied when attending an event may provide feedback through the event evaluation process or by email to firstname.lastname@example.org. Feedback on resources can be provided by email to email@example.com.
6.3 The information provided at QLS events and through resources such as DVDs, webinars and recordings, is provided for professional development purposes.
