Events and on-demand content policy

1. Event registrations

1.1 All standard conference registrations will close three business days prior to the commencement of the event, while standard registrations for all other events and webinars will close two business days prior to the commencement of the event; unless otherwise specified on the event registration webpage.

1.2 Where an earlybird event registration option is available, registrations must be booked and paid for by 5pm on the advertised earlybird closing date in order for an attendee to be eligible for the advertised ‘earlybird’ rate for an event. If payment is not received prior to the earlybird registration closing date, the attendee will be charged the standard rate for the event.

1.2 Late registrations (i.e. after standard registration close date) may be accepted, at the discretion of the Events Manager; a late fee of $50 may be charged.

1.3 If the situation arises where more than the maximum number of attendees registers for an event, QLS will give preference to QLS members in order of receipt of registration. All attendees who cannot be accommodated will be advised via email or telephone.

1.4 Payment of registration fees is required at the time of registration, online or by telephone. All registration fees are inclusive of GST. A tax invoice will be generated and issued by email after registration for an event.

1.5 Confirmation of registration will only be issued after all monies are received. Email confirmations for conferences will be sent 3 business days prior to a conference, and 1 to 2 business days prior for all other events. If you do not receive an email confirmation, please contact QLS to ensure your registration has been received.

1.6 If registration fees are not received by the event date, at the discretion of the Events Manager; a late fee of $50 may be charged.

1.7 Each registration is for one attendee only. Attendees cannot 'share' a registration (i.e. delegates cannot swap between sessions or days). Should multiple attendees attempt to ‘share’ a registration, attendees will need to be individually registered for the event and will be liable for any additional registration fees. 

1.8 An organisation cannot register for an event, an individual’s details must be provided at the time of registration.

2. Transfer of event registration

2.1 Event registration is transferable to a substitute attendee or on-demand content (where available) prior to registration close, without penalty.

2.2 Should the transfer attract further fees (e.g. member to non-member or the nominated substitute event/on-demand content is more expensive), the price difference will be invoiced and payable within 5 business days. Where a price difference results in a refund, a $50 administration fee will apply.

2.3 Any request for the transfer of registration is to be submitted in writing to events@qls.com.au for approval and processing prior to the commencement of the relevant event.

3. Event registration cancellation and refunds

3.1 Event registration may be cancelled and a refund issued, less a $50 administration fee, up to five business days prior to the commencement date of the event.

3.2 Cancellations received within five business days of an event but prior to the registration closing date (as noted in 1.1 above) will incur a cancellation fee of 50% of the registration fee. Registration is transferable to a substitute attendee, on-demand content (where available) or alternate event (in accordance with section 2 above).

3.3 Cancellations received after the registration closing date (as noted in 1.1 above) will incur a cancellation fee of 100% of the registration fee, however registration is transferable to a substitute attendee.

3.4 Attendees who fail to attend an event without prior notification will forego the entire registration fee.

3.5 Cancellation and refund requests due to exceptional circumstances (e.g. sudden illness or injury), will be considered. Such requests should be forwarded in writing, as soon as practicable, to events@qls.com.au.

3.6 QLS reserves the right to cancel or postpone an event to an alternative date. All registered attendees affected by such a change will be contacted by email and offered the opportunity to transfer to the next available event or receive a full refund.

3.7 Refunds will be made in the same manner in which payment was received.

4. On-demand content orders

4.1 On-demand content is visually recorded at the time of an event; the event date is therefore the film date. Production of the on-demand may take 2-4 weeks after the film date. These timeframes should be considered when placing orders. The on-demand content film date and video release date will be specified in the QLS shop.

4.2 On-demand content can be accessed via a link that is included in the order confirmation email. You will need to logon to the QLS website with your QLS username and password. The QLS username used to logon must be the same as used to purchase the on-demand content.

4.3 On-demand content orders cannot be placed under an organisation. An individual’s details must be provided with the order for CPD administration purposes.

4.4 A tax invoice will be generated and issued after online purchase of on-demand content.

4.5 QLS reserves the right to cancel or postpone the production of on-demand content where circumstances require. All orders affected by such a change will be notified by email. In the event that production of on-demand content is cancelled, customers will be offered the opportunity to transfer or receive a full refund. Where on-demand content has been purchased, customers will be notified by email if the release of videos is delayed.

5. On-demand content cancellations and refunds

5.1 On-demand content orders may only be cancelled and a refund issued, less a $50 administration fee, if cancellation is requested prior to the release date of the videos.

5.2 Requests for cancellation must be made within 48 hours of placing the order. Refunds will be issued on a case-by-case basis at the discretion of the Events Manager. Where refunds are offered, an administration fee of $50 will apply.

5.3 Refunds or transfers are not available for on-demand content that has been incorrectly purchased. 5.4 Any refund will be made in the same manner in which payment was received.

6. General

6.1 QLS will use every effort to maintain the integrity of event programming, however QLS reserves the right to amend professional development programs and substitute presenters and/or topics where necessary.

6.2 Attendees who are not completely satisfied when attending an event may provide feedback through the event evaluation process or by email to events@qls.com.au. Feedback for on-demand content can be provided by email to resources@qls.com.au.
