Events and on-demand content policy

1. Event registrations

1.1    Registration close dates are specific to each events’ requirements and are specified on the individual event registration webpages.  As an indication, standard conference registration close is 3 business days prior to the commencement of the event, standard registration close for other events and livecasts is 2 business days prior to the commencement of the event, while standard course registration close is between 1.5 and 3 weeks prior to the commencement of the course.

1.2    Where an earlybird event registration option is available, registrations must be booked and paid for by 5pm on the advertised earlybird closing date in order for an attendee to be eligible for the advertised ‘earlybird’ rate for an event. If payment is not received prior to the earlybird registration closing date, the attendee will be charged the standard rate for the event.

1.3    Late registrations (i.e. after standard registration close date) may be accepted at the discretion of the Events Manager; a late fee of $50 may be charged.

1.4    Group bookings are available where specified. Register 4 people from the same organisation at 1 event and the 4th is registered at 50% of the standard price. This offer is not to be used in conjunction with any other discount and discount will be applied to the lowest registration price. Group bookings are not available on single-day registrations for multi-day events.

1.5    Payment of registration fees, including earlybird registration, is required at the time of registration, online or by telephone. All registration fees are inclusive of GST. A tax invoice will be generated and issued by email after registration for an event.

1.6    If registration fees are not received by the event date; a late fee of $50 may be charged at the discretion of the Events Manager.

1.7    Final event details and materials will only be issued after all monies are received. Event materials will be sent in accordance with each events’ requirements. As an indication and in the majority of cases, conference materials are sent 3 business days prior to the commencement of the event, materials for other events and livecasts are sent 2 business days prior to the commencement of the event, while materials for courses are sent between 1.5 and 3 weeks prior to the commencement of the course.

1.8    An organisation cannot register for an event, an individual’s details must be provided at the time of registration.

1.9    Each registration is for 1 attendee only unless it is a group booking. Attendees cannot share a registration (i.e. attendees cannot change between sessions or days of an event). Should multiple attendees attempt to share a registration, attendees will be individually registered for the event and will be liable for any additional registration fees.

1.10    An automated registration confirmation email will be issued to the registered email address upon processing of an event registration. If you do not receive an email confirmation of your event registration within 1 business day, please contact events@qls.com.au to ensure your registration has been received.


2. Transfer of event registration

2.1    Event* registration is transferable without penalty to a substitute attendee, or to on-demand content (where available) prior to registration close only. If the event is not recorded for on-demand content, transfer to alternate on-demand content is permissible to the same dollar value.

2.2    Should the event* transfer attract further fees (e.g. member to non-member or the nominated substitute event/on-demand content is more expensive), the price difference will be invoiced and payable immediately. The transfer will not be confirmed or complete until all outstanding fees are paid.

2.3    Practice Management Course:

2.3.1    Registration is transferable to a substitute attendee^ without penalty up to 3 weeks prior to the course commencement date.

2.3.2    Registration is transferable to a future course date (where available) up to 3 weeks prior to the course commencement date; a $50 administration fee will apply.

2.3.3    Transfers received within 3 weeks of the course commencement date up to the registration close date are permissible; a $220 administration fee will apply.

2.3.4    Transfer requests received after the registration close date may be accepted at the discretion of the Events Manager and; if accepted, a $220 administration fee will apply.

2.4    Solicitor Advocate Course:

2.4.1    Registration is transferable to a substitute attendee^ without penalty when received prior to registration close date.

2.4.2    Registration is transferable to a future course date (where available) when received prior to registration close date; a $50 administration fee will apply.

2.4.3    Transfer requests received after the registration close date may be accepted at the discretion of the Events Manager; if accepted, a $50 administration fee will apply.

2.5    Mental Health First Aid (MHFA) Officer Course:

2.5.1    Registration is transferable to a substitute attendee^ or future course date (where available) without penalty up to 3 weeks prior to the course commencement date.

2.5.2    Transfers received within 3 weeks of the course commencement date up to the registration close date are permissible; a $220 administration fee will apply.

2.5.3    Transfer requests received after registration close date may be accepted at the discretion of the Events Manager; a $220 administration fee will apply.

^Should the course registration transfer to a substitute attendee attract further fees (e.g. member to non-member or there are outstanding registration fees), the price difference will be invoiced and payable immediately. The transfer will not be confirmed or complete until all outstanding fees are paid.

2.6    Any request to transfer an event registration is to be submitted in writing to events@qls.com.au for approval and processing as soon as practicable prior to the commencement of the relevant event.


3. Event registration cancellation and refunds

3.1    Event* registration may be cancelled and a refund issued, less a $50 administration fee, up to 5 business days prior to the commencement date of the event.

3.2    Cancellations received within 5 business days of an event* but prior to the registration close date (as noted in 1.1 above) will incur a cancellation fee of 50% of the registration fee. Registration is transferable to a substitute attendee, on-demand content (where available) or alternate event or on-demand content (in accordance with section 2 above).

 3.3    Cancellations received after the event* registration close date (as noted in 1.1 above) will incur a cancellation fee of 100% of the registration fee.

3.4    Practice Management Course:

3.4.1    Registration may be cancelled up to 3 weeks prior to the course commencement date, a refund will be issued less a $50 administration fee.

3.4.2    Cancellations received within 3 weeks of the course commencement date and up to the registration close date, will be issued a refund less a $220 administration fee.

3.4.3    Cancellations received after the registration close date will incur a cancellation fee of 100% of the registration fee.


3.5    Solicitor Advocate Course:

3.5.1    Registration may be cancelled and a refund issued, less a $50 administration fee, up to the registration close date.

3.5.2    Cancellations received after the registration close date will incur a cancellation fee of 100% of the registration fee.


3.6    Mental Health First Aid (MHFA) Officer Course:

3.6.1    Registration may be cancelled and a refund issued, less a $50 administration fee, up to 3 weeks prior to the course commencement date.   

3.6.2    Registration cancellations received within 3 weeks of the course commencement date up to the registration close date will receive a refund less a $220 administration fee. 
 
3.6.3    Cancellations received after the registration close date will incur a cancellation fee of 100% of the registration fee.

3.7    Attendees who fail to attend an event without prior notification will forego the entire registration fee.

3.8    QLS reserves the right to cancel an event or postpone to an alternative date. All registered attendees affected by such a change will be contacted by email and offered the opportunity to transfer to the next available event or receive a full refund.

3.9    Cancellation and refund requests due to exceptional circumstances (e.g. sudden illness or injury), will be considered on a case-by-case basis at the discretion of the Events Manager.

3.10    If you are feeling unwell or experiencing any symptoms of COVID-19 or if in the 14 days prior to the event you have been in contact with a confirmed case, have been overseas or to a COVID-19 hotspot, we ask that you do not attend a face-to-face event. Please advise QLS Events Management as soon as practical. Your registration will be transferred to online attendance or on-demand content where available. If not available, a full refund will be issued.

3.11    Any request to cancel an event registration is to be submitted in writing to events@qls.com.au for approval and processing as soon as practicable.


4. On-demand content orders

4.1    Production of on-demand resources may take 1-5 weeks after the film date. Film and recording release dates will be specified in on-demand resource listing in the QLS shop, and in the on-demand resource PDF program. These dates should be considered when placing orders.

4.2    On-demand content can be accessed via a link that is included in the order confirmation email which is sent to the registered email address upon completion of an order. You will need to logon to the QLS website with your individual QLS username and password. The QLS account used to logon must be the same account used to purchase the on-demand content.

4.3    On-demand content orders cannot be placed under an organisation account. An individual’s details must be provided at the time of ordering.

4.4    Payment of order fees is required at the time of ordering, online or by telephone. All order fees are inclusive of GST. A tax invoice will be generated and issued by email after ordering on-demand content.

4.5    QLS reserves the right to cancel or postpone the production of on-demand content where circumstances require. All orders affected by such a change will be notified by email. In the event that production of on-demand content is cancelled, customers will be offered the opportunity to transfer to alternate on-demand content or event for the same dollar value or receive a full refund. If the recording release date is delayed, customers will be advised by email.

4.6    In the circumstances that an event program does not run to the full time allocated, resulting in the on-demand content CPD value decreasing, customers will be notified by email. At the discretion of the Events Manager, customers will be offered an additional on-demand content resource to the CPD value or refund equivalent to the reduction of CPD value.


5. On-demand content cancellations and refunds

5.1    On-demand content orders may only be cancelled and a refund issued, if cancellation is requested prior to the release date of the videos.

5.2    Requests for cancellation of an on-demand content order, where the video has already been released, must be made within 24 hours of placing the order. Refunds will be issued on a case-by-case basis at the discretion of the Events Manager. Where refunds are offered, a $50 administration fee may apply.

5.3    Any request to cancel an on-demand content order is to be submitted in writing to events@qls.com.au for approval and processing as soon as practicable.


6. General

6.1    Refunds for payments made by credit card will be refunded to the credit card used to make the initial purchase. Refunds for payments made by BPAY, Cheque or EFT will be refunded by EFT.

6.2    QLS will use every effort to maintain the integrity of event programming, however QLS reserves the right to amend professional development programs and substitute presenters and/or topics where necessary.

6.3    Attendees who are not completely satisfied when attending an event or viewing on-demand content may provide feedback through the evaluation process or by email to events@qls.com.au.

6.4    The information provided at QLS events and through on-demand content, is provided for professional development purposes. QLS does not warrant the accuracy, reliability or completeness of the information or that the material is fit for any particular purpose. 6.5    After attending an event or purchasing an on-demand resource, the full amount of applicable CPD points will automatically be allocated to the customer’s QLS account (note, this will not include any indication of mandatory core areas). These are viewable and editable by logging in to myQLS on the QLS website. This application of CPD points is indicative only and it is the practitioner’s responsibility to ensure that CPD records are accurate per their attendance and/or viewing time.
